Visit Bursary for School Groups

This fund is available for teachers, to support with the costs of bringing students to campus.

How much can I claim?

For the academic year 2025/26, state school and college staff can claim between £250 - £750. We will use eligibility criteria as outlined in our Access and Participation Plan, such as percentage of free school meal students and the socieconomic background of the students at your school, to determine the value of your travel bursary. 

The value will be confirmed to you upon completion of the form on this page. 

Where possible, we don’t want the cost of travel to be a limiting factor in attending our on-campus events. If you’re concerned that the available bursary will prevent your school group from accessing campus, please get in touch to discuss this further.

What can the Visit Bursary be used for?

The Visit Bursary can support travel costs for on-campus outreach events. Teachers or advisers can book this for their school groups. Eligible events may include:

  • University Open Days
  • On-campus outreach days (for example, one-day events booked via our outreach team, library services or STEM outreach team)

Please note:

  • this funding is available only to school groups
  • it is not available on an individual basis
  • only school staff can request bursaries
  • the allowance can only be used for transport or supply costs incurred by student groups visiting the Newcastle University campus
  • the funding is available to state schools/colleges only
  • we will consider bursary applications individually
  • we will take into account the number of visits and the cumulative amount claimed per school/college during this academic year

How to apply

1. Visit Confirmation

We will first confirm your visit to Newcastle University.

2. Complete the Bursary Form

Before attending your visit, fill in the form provided below.

3. Submit Your Evidence

Complete the Glasscubes form and upload evidence of your travel or cover costs.

4. Processing by Our Team

Once submitted, our team will review your claim and arrange payment on the scheduled processing dates.

 

Important Information

  • The Visit Bursary reimburses your travel or cover costs after your visit. We do not pay these costs in advance.

  • Payment processing dates (academic year 2025–26):

    • Wednesday 3 December 2025

    • Wednesday 25 March 2026

    • Wednesday 22 July 2026

If these set dates prevent you from engaging with the Visit Bursary, please contact us at: visit.bursary@ncl.ac.uk. Provided all evidence is received, you will be reimbursed within 6 weeks of the dates above (typically within 3 weeks).

Please note: We cannot process any payments without a completed Form of Intention, below, and a completed Glasscubes form linked at the end the Form of Intention.
